Turn a square-foot rate into a project budget
An area-times-rate calculation is useful, but it is not the same as the amount you will spend to move in. The solution is a written scope: mark each budget item included, excluded or provisional, then identify who is responsible for it.
Before construction
Allow for the work your site needs: document review, measurement, design, structural engineering, soil investigation and required approval submissions. Confirm professional fees and statutory fees separately. Your authority and appointed professionals should establish the applicable requirements.
Ground conditions and external works
Ask how the quote treats site clearing, demolition, access constraints, unusual foundations, dewatering and protection of neighbouring buildings. Separately check the compound wall, gate, borewell, sump, drainage and utility connections. These depend on the site, not just built-up area.
Interior work and upgrades
A civil construction rate may not include kitchen cabinetry, wardrobes, loose furniture, appliances, light fittings, air conditioning, false ceilings or automation. Check quantities and allowances rather than assuming a room or product is fully included.
Taxes and fees
Ask for a written breakdown showing the applicable taxes and whether the quote includes them. Do not calculate GST from a generic statement about the labour component: treatment depends on the actual supply and contract. Have the contractor and your tax adviser confirm the basis.
An example of the budgeting method
For 1,500 sq.ft at the Standard rate of INR 2,199/sq.ft, the base calculation is INR 32,98,500. It becomes a complete budget only after every excluded or provisional item is costed. Do not apply a universal extra-cost percentage and call it a quotation.
Create separate lines for construction, professional services, statutory charges, external works, interiors, financing costs and a contingency chosen for the uncertainties in your project. Avoid counting the same included item twice.
Keep changes visible
Record the requested change, its cost, time impact and approval before work begins. Review actual spending against the complete budget at milestones, not just against the original headline rate.
